Meaning HAVEN in Old Norse
Höfn was born out of the desire to put on unique events & occasions in unusual locations.
As a collective, we draw from our talents and resources to create memorable one-off private and public events.
At Höfn, we have the equipment, expertise, and experience to supply everything you need to create a stand out event or occasion. We create bespoke furniture & bars to hire and keep a pool of lighting, flooring, food, drinks, sound equipment, and decorations in stock.
With the ability to create flexible yet stunning sheltered spaces, capable of fitting into areas other structures can’t, stretch tents bring the indoors, outdoors! They can be set up on all surfaces, against buildings and uneven ground. The option of temporarily attaching to buildings, covering outside areas and providing extended outdoor space are all made possible in a stylish and adaptable way.

We specialise in Project creation and development of large-scale events such as festivals, conferences, ceremonies, weddings, formal parties, concerts, or conventions, covering the logistics and operations from start to finish with our dedicated team of experienced industry professionals.

Our standard bars are handmade, purpose built, wooden and varnished. All bars are stocked with a large range of premium products, and we are happy to source local products and special requirements. You can even come for a cocktail tasting session and curate the perfect cocktail for your event at Poison, our Cocktail Bar in Leeds.

Terms and Conditions of Implementing Infrastructure
1. Roles and Responsibilities
Hire Company
The Hire Company is responsible for:
The initial, secure placement of infrastructure components at the designated project location, as specified in this agreement.
Installing the infrastructure in a safe and efficient manner after assessing site conditions. If no specific placement instructions are provided by the Hirer, the Hire Company reserves the right to determine a safe and practical layout to ensure stability and usability.
Conducting an initial site assessment to confirm that infrastructure is laid on a stable, flat surface to minimize hazards and ensure alignment and stability.
Hirer
The Hirer is responsible for:
Ensuring that the infrastructure remains in its original configuration as deemed safe by the installer throughout the hire period.
Performing regular inspections of the infrastructure to verify stability, especially after adverse weather or high traffic.
Notifying the Hire Company promptly if adjustments, re-positioning, or additional safety measures are required.
Ensuring that third parties or additional contractors adhere to the terms, including any restrictions on moving or altering the infrastructure.
Third Parties
If any third party or additional contractor moves, adjusts, or otherwise alters the infrastructure, they assume full liability for any resulting incidents or damages. The Hire Company’s liability is waived if infrastructure components are moved or altered by the hirer or third party.
2. Terms and Liability Clause
Agreement of Terms and Conditions
Once the Hirer pays the required deposit, these Terms and Conditions (T&Cs) become binding, regardless of whether a formal contract is signed. The Hirer may request a copy of the T&Cs at any point before or during the hire period.
Liability Waiver
The Hire Company is not liable for any incidents, accidents, or damages resulting from infrastructure being moved, adjusted, or altered by any party other than the Hire Company. Such adjustments void any warranties, assurances, or obligations from the Hire Company, and the responsibility shifts to the party performing the alteration.
Weather-Related Monitoring and Responsibility Clause
The Hirer is responsible for monitoring the condition of the infrastructure throughout the hire period, particularly after adverse weather conditions such as rain, high winds, or heavy foot traffic that could affect stability. If weather-related conditions impact safety or positioning, the Hirer must notify the Hire Company promptly for assessment or re-adjustment if necessary.
Weather-related risks—including slipping hazards, water pooling, or displacement the Hirer’s responsibility once the infrastructure is installed. The Hirer must implement necessary measures to manage these risks.
Safe and Efficient Manner of Installation
The infrastructure will be installed in a way that prioritizes safety, stability, and usability:
Infrastructure will be placed on stable, flat surfaces, free from obstacles, debris, or slopes that could compromise stability.
Placement will be carefully assessed to minimise hazards, ensure consistent alignment, and provide a secure, non-slip area for users.
If no specific placement instructions are provided by the Hirer, the Hire Company has discretion to establish the layout based on site conditions to ensure stability and accessibility.
If, at any time, the infrastructure is moved from its original location or altered from the initial state of installation, any request by the Hirer for assistance with the adjusted infrastructure will be undertaken at the Hirer’s full responsibility. The Hire Company disclaims liability when providing help or re-adjustments on infrastructure that has been moved or modified from its original installation.
If the Hirer requests the infrastructure be moved to a new location, the Hire Company reserves the right to refuse if the new location is assessed as unsafe. In this case, the Hire Company will still be entitled to full payment, as the original installation was completed safely within the designated location.
The infrastructure must remain in its original configuration for the duration of the hire period unless adjusted by authorised personnel from the Hire Company and this must cover the full installation and not any minor alterations.
4. Inspection and Maintenance Responsibilities
Safety Inspection Requirement by the Hirer
To ensure ongoing safety, the Hirer is required to conduct and document the following inspections:
Initial Inspection: Verify infrastructure is securely in place according to the original installation.
Daily Inspections: Inspect for stability, signs of slippage, and cleanliness, particularly in high-traffic areas.
Post-Adverse Weather Inspections: Inspect after rain, wind, or other conditions that could impact stability; report any necessary adjustments to the Hire Company.
Weekly Comprehensive Inspection: A thorough inspection to address any gradual shifts or wear.
End-of-Hire Inspection: Verify infrastructure is in its original, safe configuration before handover to the Hire Company.
The Hirer must maintain a detailed log of each inspection, including the date, time, inspector’s name, observations, and any corrective actions taken. If stability is compromised, it must be reported to the Hire Company immediately for evaluation.
5. Hire Period, Payment, and Extension
Hire Period: The hire start and end dates will be specified in the hire arrangement.
Payment and Deposit: The Hirer must pay a deposit to confirm the arrangement. Full payment is required prior to the start of the hire period unless otherwise agreed.
Extension of Hire: The hire period may be extended by mutual agreement with additional charges applicable.
6. Liability and Indemnification
Hirer Liability: If the Hirer or any third party moves or alters the placement of infrastructure, the Hire Company is released from liability for any incidents or damages resulting from these changes.
Indemnification: The Hirer agrees to indemnify and hold harmless the Hire Company against any claims, damages, losses, or expenses arising from unauthorized adjustments to the infrastructure.
7. Equipment Care and Maintenance
The Hirer is responsible for keeping the infrastructure in good condition during the hire period:
Infrastructure must not be misused, neglected, or altered in any way that deviates from the original safe configuration.
Damages resulting from misuse, negligence, or unauthorized alterations will be the Hirer’s responsibility, including repair or replacement costs.
8. Termination of Agreement
The Hire Company reserves the right to terminate this agreement if terms are breached or if equipment is misused. In such cases, the Hirer will be liable for any outstanding hire charges and costs for repair or replacement due to misuse.
9. Acceptance of Agreement
By paying the deposit, the Hirer and Hire Company acknowledge and accept all terms, conditions, and responsibilities outlined within this document and the associated Risk Assessment. Both parties agree to adhere to the specified roles, safety requirements, and liability clauses, and these terms are binding with or without a signed contract.
